Job Description Job Description We are looking for an Administrative Coordinator to join our team in Seattle, Washington. This long-term contract position offers an opportunity to contribute to a non-profit organization dedicated to making a meaningful impact. The ideal candidate will excel in administrative support, bookkeeping, and organizational coordination, ensuring smooth operations and compliance within the organization. Responsibilities: • Act as the key point of contact with the facility lessor, managing routine maintenance and repair needs. • Oversee the general email inbox, ensuring inquiries are promptly addressed or forwarded appropriately. • Manage office supplies and inventory, tracking and replenishing items when necessary. • Process financial transactions such as invoices, payments, and income entries using QuickBooks Online with precision. • Conduct vendor documentation reviews, verifying forms like W-9s for accuracy. • Maintain organized financial records in alignment with audit standards and internal policies. • Provide administrative assistance to the Executive Director, including scheduling meetings, preparing documents, and coordinating events. • Organize and store board materials, including agendas, minutes, and presentations, ensuring accessibility and proper documentation. • Ensure adherence to accounting regulations, organizational policies, and relevant state and federal laws.• 2 to 4 years of experience in administrative support, bookkeeping, or similar roles. • Proficiency in QuickBooks Online and a solid understanding of bookkeeping practices. • Strong organizational skills with the ability to prioritize tasks and maintain accuracy. • Familiarity with productivity tools such as Microsoft Office, Asana, and cloud-based file systems. • Knowledge of accounting principles and standards for audit-ready recordkeeping. • Excellent written and verbal communication skills to liaise effectively with staff, board members, and external stakeholders. • Dedication to equity, inclusion, and the mission of Children’s Alliance, with experience working in diverse environments.
